Why do I need a database?

Tired of endless paperwork? Trying in vain to keep things in order?

Think of how much more business you could do with the time saved!

A database could pay for itself very soon!

 
A database can store all your information and allow you to view it however you like, in any order you like at the touch of a button.

Cross referencing and searching for that elusive piece of vital information is as easy as pressing the right buttons.

Data can be summarised and reports generated which can be viewed on screen or printed out.

Invoices can be calculated and populated with all the relevant and up to date details.

Change your contact details/logo anytime and have them incorporated in the design, saving money on out of date pre-printed business stationery.

Whatever you need to know or calculate, as long as the raw data has been input, you can get the right answers to your questions.

Save space computerising as little or as much of your business as required.

You can always start off with a smaller database and have it progressively grow in line with your business requirements.

Consider a database built using Microsoft Access

Microsoft Access is an ideal product to use for a small business database.

Self contained with all the required features to build a cost effective, easy to use database.

The product is part of Microsoft Office Professional, or can be purchased separately.

Although the cheaper of Microsoft’s database products, it can produce professional looking/ working database solutions.

What would it cost?

With an hourly rate of just £40 + VAT for all development work (including data structure and site visits) the cost of a small business database won’t cost as much as you’ve been led to believe.

Tens of thousands of pounds are spent on corporate sized databases, but smaller businesses often have much smaller needs.

A small business database could start at under £1000, depending on how many tables are required to store your data, how many forms and reports to present it, and the complexity of the above.

Cheap, quickly thrown-together databases are a false economy, and will compromise your data.

The database needs to be structured correctly from the start, and until this is right the development of what you physically see as the database cannot begin.

Often the development undertaken on the computer is seen as the real development, but it cannot be stressed enough that the initial plan/data structure means everything.

A mistake at the beginning could lead to lots of unnecessary and time consuming work later.

Think of the initial plan/data structure as the foundations of a building, and the user interface as the actual building on top!

Rarely does a database remain the same over time, but neither does it have to change if it suits your business.

If something isn’t as you originally wanted or your business needs change, development resumes at the usual hourly rate; no nasty expensive bills later.

It may be that all you require after time is another report to summarise data in a different way.
A small report could add less than £100 to the cost of the overall database.

Work undertaken to your exact specification

You may have heard stories of how businesses are constrained by how the developers think a database should look and work.

Unless there is a data integrity issue, you are free to have your database look and function exactly how you like.

Design issues can be discussed at an early stage, but don’t worry if you have no thoughts on the matter and would like me to share my design ideas with you.

Generally the design will fall into place and be dependant on how you need the database to work, which will most likely emulate how you currently work.

It can be tweaked as the development continues.

The Stages

Initial site visit
This will be required to ascertain what your business does and how it runs.
And to develop an understanding of the part of the business to be computerised and the other parts of the business that it interacts with.
Information will be gathered from the basics right down to the actual specific data required to be stored, so that the database can be designed accordingly.
All relevant paperwork needs to be seen with forms populated with real or dummy data.

Agreement
A document will be produced outlining what is expected of the database, it’s purpose, functions etc.
It will also outline the specific data required to be stored.
Both parties sign the document and work begins.

Meetings
Various meetings along the way will make sure that the database is developing in line with the agreement (which can be added to and re-signed to mirror your ongoing business strategy and any changes).
This will ensure that the database isn’t out of date before you start using it!
You will be able to physically test the database at various stages.

Installation and Payment
When you are happy with the database and the fact that it mirrors the agreement exactly, payment will be required before installation.
Training can be given at that point or at a more convenient time later.
